Rules & Regulations


1.     By paying a fee you enter into a contract with Caerphilly County Borough Council to participate in either the 10k or the 2k run on the basis set out in these conditions.

2.     Entrants must be of the following minimum age categories on the day of the event;-

a.     Bryn Meadows Caerphilly 10k entrants must be at least 15 years of age.

b.     Bryn Meadows Caerphilly 2k entrants must be at least 8 years of age.

3.     All entrants must be fit enough to complete the event and are required to sign a disclaimer prior to taking part.

4.     Provided that the entry capacity is not exceeded prior to the event date, a limited number of entries may be (at organisers discretion) allowed on the day of the event between the hours of 8am and 9.30am for the 10k.

5.     Accepted entrants will receive their chip timing and entry number in the week prior to the event. If you have not received your information pack one week prior to the event you should email us at the following address

6.     Your entry number is individual to you and is non transferable and non refundable. Entrants using someone else's number can have serious consequences in the event of a medical emergency.


7.     The fees for entry into the 10k and 2k runs are as follows (inclusive of VAT)


£20 per person

Club/Welsh Athletics Affiliation

£18 per person

Concessions - over 60's and wheelchair entries

£18 per person

Caerphilly 2k

£6.50 per person

8.    All fees above include booking and transaction fees and can paid by cheque or online.

9.  If your entry is accepted the fee is non refundable.

10.  In the event that your address changes after you pay a fee, you agree to inform us of the address change by sending us an email to the following address:

11.   Entrants will need to ensure that your email account is able to receive our emails. We shall have no liability to you if our emails are rejected by any firewall, anti virus spam, antivirus or other software or because your inbox is full.  


12.   Those taking part in the 10k / 2k do so at their own risk. Caerphilly County Borough Council takes no responsibility for any illness, injury, loss or damage suffered by entrants.

13.   If you have suffered health problems in the past, we would advise you to seek medical advice before taking part in the 10k / 2k.

14.   The route's will be available to view online via the website, Caerphilly County Borough Council reserves the right to alter the route without notification to entrants prior to and on the day of the event.

15.   Entrants will be expected to wear suitable attire and footwear for completing the 10k / 2k.

16.   Entrants should assemble at the Start line at Crescent Road, Caerphilly at the following times;-

a.     2k entrants should arrive at 09:10 hours at the latest prior to starting the run at 09:15 hours.

b.     10k entrants should arrive at 09:45 hours at the latest prior to starting the run at 10:00 hours.

17.   We reserve the right to refuse entry to entrants who do not arrive in time for the allocated assembly time above.

18.   We will not accept responsibility for anyone taking part in the 10k / 2k who is not an official entrant. An official entrant is someone whose application form has been accepted by us and who has been given a registration number and completed the registration procedures.

19.   We withhold the right to refuse entry to the 10k / 2k or ask you to cease participation if:-

a.     You attempt to participate in a manner that we, acting reasonable, believe:-

a.     may cause injury to you

b.     may cause injury to another entrant

c.     is likely to cause offence

d.     causes a risk or potential risk to health and safety of entrants, including yourself

b.     You fail to arrive at the start location at the specified time

c.     You are unable to make sufficient progress in the events to, in the reasonable opinion of the officials, allow you to complete the events by the predetermined cut off times of 2 hours for the  10k and 30 minutes for the 2k.

d.     You are wearing headphones or similar device, which are not permitted.


20.   We may cancel the 10k and/or the 2k if any circumstances beyond our control arise that, in our reasonable opinion, would cause the events to be hazardous for participants and / or staff. In such circumstances:-

a.     We will, if practicable, give written notice of cancellation to the address we hold for you.

b.     If cancellation is too late to provide written notice we will use reasonable endeavours to give notice by other suitable means.

c.      In such circumstances your fee will be refunded in full.

21.   We may cancel the 10k and/or the 2k if two months before the date there are not, in our sole discretion, enough confirmed participants to make the events viable. In such circumstances your fee will be refunded in full.

22.   In the event of cancelling the 10k and/or the 2k we will have no responsibility for any costs incurred in the expectation of participating in either event, or as a result of the cancellation including any travel or accommodation costs, including travel to the event location.


23.   You agree that your personal information can be stored and used by us in connection with the organisation, staging and administration of the 10k / 2k.

24.   You agree that your name and contact details can be used by us for the purpose of the futue promotion and marketing of the 10k / 2k events and adding you to a mailing list to keep you informed of any future events and services that we believe you might be interested in, such as similar types of events and activities in similar locations.


25.   Photographs may be taken which capture your participation in the 10k /  2k. You agree to the publication of photographs of your image which accurately depict your participation in the run in the context of a report which relates solely to the 10k / 2k and may be used to advertise these events in future.
