There are now two ways to book classes and courts.

Rules and Regulations of booking

  1. All users must comply with the general rules and conditions applicable to all users of the facilities.  All Leisure Centre activities and facilities are subject to availability.
  2. Lifestyle memberships are non transferable and smartcards must only be used by the smartcard holder.
  3. Smart cards must be produced at reception at all times in order to qualify for entry. Receipts must be obtained and retained for all activities.
  4. Smartcard holders may book facilities up to 7 days in advance.  This can be done in person at the Leisure Centre reception, by telephone, via the kiosk (Caerphilly & Newbridge LC only) or through the online bookings website.
  5. Non Smartcard holders will be required to pay in full at the time of booking.
  6. Classes/Activities cannot be booked for more than one person unless the member in question is part of the same membership type EG;. Couples / Family.
  7. Members must report to reception before their booking begins to ensure their attendance is recorded.  Failure to do so will incur a ‘no show’ charge for the class.  This will be based on the standard charge for the class and added to a members account / record.
  8. Smartcard holders booking online or through the kiosk must bring with them the receipt they receive once the booking is confirmed. For online bookings the receipt is emailed to the customer.
  9. The minimum age for all classes is 14 years of age. Children aged 14 – 16 can attend ‘appropriate’ classes. ‘Appropriate’ classes are determined via consultation with the class instructor and Centre Shift Supervisor.
  10. Bookings can be made in person, over the telephone or online.
  11. Those on the waiting list will be contacted in order. If there is no answer or contact cannot be made, no message will be left and the next person on the list will be contacted and places allocated in order that contact is made.
  12. Booking online requires for you to be a registered Smartcard holder and have a valid email address registered and have been provided with a unique access PIN. This will have been provided through email or at the time of joining. Should you have not received a PIN number, please request this at leisure@caerphilly.gov.uk.
  13. Any customers who forget their PIN number can request a reminder at leisure@caerphilly.gov.uk.
  14. To gain entry to CCBC Sport & Leisure facilities any customer booked onto an activity will be required to produce their membership card at reception. Please allow sufficient time to record during busy times.
  15. The content and implementation of this policy will be regularly monitored, reviewed and updated. Staff and customers will be formally advised of any updates with appropriate notice.


  1. The Customer is responsible for the payment and any other charges related to the booking.
  2. Full payment will be taken at the time of booking for all booked activities through credit or debit card in  pound sterling (American Express is not accepted).
  3. The full payment is required to validate the booking.
  4. The price will be confirmed at the time of booking.


  1. All class participants MUST report to reception prior to the class taking place to book in and collect a class ticket.
  2. All tickets/receipts for the class must be handed to the instructor at the start of the session.
  3. All class participants should arrive at least 5 minutes prior to the start of their class, participants that turn up more than 10 minutes late may l be refused entry to the class.
  4. If a class is full and there are other customers waiting for a space at the reception desk, any booked person who is not signed in at the scheduled start time of the class will have their space forfeited to allow for those waiting to attend the class.
  5. It is your responsibility to inform the instructor of any relevant medical conditions or restriction in which you believe the instructor should know about or that may restrict your involvement in certain aspects of the class.
  6. Please ensure that you wear suitable attire for the class and a bring water bottle to keep hydrated. The class instructor will give you advice and guidance on how to perform activities which must be adhered to ensure your own safety.

Cancellation of booking by the customer

  1. Cancellations must be made providing 24 hours notice.  Failure to do so will incur a ‘no show’ charge.
  2. CCBC Sport & Leisure Services reserves the right to rescind a customer’s booking rights when they cancel with less than 24 hours notice on more than 3 occasions in a month.
  3. All bookings made by ‘Pay as You Go’ customers are non-refundable. Transfer of bookings is at the discretion of the Centre Shift Supervisor.

Failure to Attend a Booked Activity

  1. Failure to attend a booked class or activity on more than 3 occasions in a month will result in a loss of booking privileges for a period of 1 month. Further failure to attend or cancel without appropriate notice may result in a charge being levied for the class at the publicised rate.

Cancellation by the Centre and Timetabling

  1. The Leisure Centre Management reserve the right to amend the class timetable at any time.
  2. In certain circumstances classes may be covered by a different instructor, in some cases this may mean the class content may be different to that advertised.
  3. CCBC Sport & Leisure Services can add, change, withdraw or cancel facilities or activities from the Leisure Centre without notice. This includes closing the Leisure Centre or amending opening hours for safety reasons, maintenance or special events.
  4. CCBC Sport & Leisure Services  reserves the right to refuse or cancel any booking to refuse admission to the Leisure Centre, reject an application of membership or withdraw membership at any time.
  5. No refund of membership fees will be made if a facility or activity booking is cancelled by the Leisure Centre.
  6. The Leisure Centre will not be liable for any other expenditure incurred or loss sustained by the customer as a result of any cancellation of activity.

General Rules and Regulations of Use

  1. Set up of equipment may be undertaken during your booking time and is included in your booking payment.
  2. Permission MUST be obtained from the Centre Shift Supervisor before taking any video or photographic images in the building.
  3. Customers shall keep all noise at a level which is acceptable.
  4. On arrival at, and departure of the Leisure Centre, customers must show consideration towards local residents living near the centre.
  5. Parking is only permitted in the designated parking places.
  6. Customers will leave booked areas clean, tidy and free from damage, wiping down any equipment as instructed by the session leader.
  7. Customers are requested to advise Leisure Centre staff of any damage, defects of issues of general health and safety that are observed.


  1. CCBC Sport & Leisure Services accepts no responsibility for the loss of, or damage to, property, or injury, illness or death on the premises unless caused by its own negligence.
  2. Customers have a responsibility to work within their own capabilities following the advice of medical practitioners and CCBC Sport & Leisure Services Staff at all times. Should any any discomfort or pain be felt during exercise it should be stopped immediately.
  3. Customers must report any accident, injury or damage to the Centre Shift Supervisor as soon as practicably possible.
  4. During an emergency, instructions of the staff should be followed without question. In the case of the fire alarm sounding, customers must exit the centre by the nearest available exit and meet at the nominated assembly point.

Data Protection Act

  1. CCBC Sport & Leisure Services abides by the Data Protection Act of 1998 and will keep all information provided by its customers for the purpose of administering the membership.
  2. CCBC Sport & Leisure Services may use information provided to notify of Leisure Centre activities and  LeisureCentre information. Customers  have the choice to opt out of this communication by notifying the Leisure Centre in writing.

Customer Feedback and Comments

  1. Should there be any concerns regarding the level of service received, please speak to the Centre Shift Supervisor immediately.
  2. Customer feedback forms are available at reception and once completed should be returned to the reception staff.
  3. If in possession of the relevant email contact details of specific department managers, please contact them directly, or alternatively, email feedback can be submitted to leisure@caerphilly.gov.uk.

  • If you have a Smartcard and a unique user ID and password,

  • If you have a Smartcard but no user ID and password,
    e-mail the Smartcard helpdesk quoting your smartcard number, date of birth and address and request your unique ID and password.
  • If you would like to apply for a Smartcard in order to request your unique ID and password,
    visit the Smartcard website.
  • Please do not book into two of the same classes one after another.  e.g.  Do not book into Group Cycling at 6.20am and 7.15am on Tuesday mornings in Caerphilly LC, please choose one or the other.
